Instructions for installing and setting up the ACS Voucher for WooCommerce plugin

To install the additional ACS Voucher for WooCommerce you will need to contact with ACS courier to obtain the required Web Services in order to function the plugin. Then, after you complete the purchase of the plugin by us, you should proceed to the following steps:

Installation and activation

  1. You log in to your website with administrator rights.
  2. From the control panel select “Plugins” and then “Add New Plugin”.
  3. At the top of the page select “Upload Plugin”.
  4. From the box that will appear, click on “Select file” and in the pop-up window, select the .zip file that was downloaded from our website, during your purchase.
  5. Click “Install Now” from the dialog box.
  6. After the file is successfully uploaded, you will be presented with the “Activate Plugin” option, which you select.

Plugin settings

Next, you will need to properly configure the plugin and perform test procedures, which are required to check for proper operation. For this reason, you must enter the test codes (Company ID, Company Password, User ID, User Password, Billing Code, API key) sent to you by ACS Courier after your communication. More specifically:

  1. Where “Sender” is the name of your business/ company.
  2. Where “Company ID”, “Company Password”, “User ID”, “User Password”, “Billing Code” and “API key” the data from the ACS e-mail. If you have multiple codes, add a new account for each different billing code they provide.
  3. In the field “Automatic close pending jobs” you can fill in the desired time for closing the collection list, in case you fail to do it manually. This option is mandatory and marks the end of the day, in order to inform the courier company about the orders that are to be sent.
  4. The “Predefined Weight” field sets the default package weight value when this is not specified when ordering. In case the weight sizes of the products are determined, it is calculated automatically. Note that the voucher version cannot be completed for zero weight order.
  5. The “Auto issue” option allows the voucher version to complete the order without the manual version, that is, the order automatically goes to the “Complete” mode.
  6. The default ACS account is for the automatic voucher version and for each new account you add to appear in the options, you will first need to save the settings and then make the selection.
  7. Then, in “Disable on Specific Payment Gateways” selected the payment methods” select, if you have, payment gateways for which vouchers will not be automatically issued.
  8. Similarly, in the “Disable on Specific Shipping Methods” you select shipping methods that will be excluded from the automatic version.
  9. Then, in the “Auto Issue Paper Size” choose if you want the vouchers to be printed in booklet size (A4) or sticker size (A6) by default.
  10. Then you can enable the address validation, so that at the completion of the order, when the customer fills in the shipping information, the Zipcode is filled in or corrected, based on the city and address given. It should be noted that our plugin provides the additional possibility of checking validity and auto-completion of the postal code, when filling in the address details in the order form by the customer. When the buyer enters the Zipcode and then an address that does not correspond to it, the postal code field is automatically corrected to conform to the address. However, Web Expert is not responsible for the validity of the Zipcode, since it derives the information of the checks from ACS and the validity depends on the data sent by the courier company.
  11. In “Dimensions” you choose whether you want the normal or volumetric weight of the products to be printed on the voucher.
  12. You can activate the “Inaccessible check” in order to check the hard-to-reach areas when completing the order and when issuing the voucher.
  13. In “Debug” you can enable the retention of the transaction log.
  14. We recommend that the option “Default method for ACS shipping calculator” be defined based on the ZIPcode and it concerns which ACS service point will serve the customer during the delivery of his order, so that the shipping costs are calculated correctly.
  15. In the last two fields you fill in your e-mail and the API you received by purchasing the plugin, in order to ensure its correct operation and automatically receive updates of new versions.
  16. Click save changes to complete the test settings.

For your convenience there are some additional functions below the form with the plugin settings fields. More specifically, in case you have kept a voucher number, you are given the possibility to quickly print or cancel it, without looking for it on the orders page:

  1. Fill in the voucher number in the “Print Voucher” and “Cancel Voucher” fields to print or cancel it.
  2. Below in “Print Pickup List” you can print pickup lists of previous days, simply by selecting the date of the day you want and then, from the list that will appear, choose the ones you need.
  3. From “COD Beneficiary Info” you can download a CSV file the cash on delivery orders of the date you want, in order to deliver the list to the ACS courier.
  4. Export orders” enables, through the WooCommerce Order Tracking plugin, to export to a CSV file a list of the vouchers of the orders you want.


Test voucher 

The ACS Courier requires testing the functions of issuing voucher, printing, deleting it, as well as issuing  pickup list. The following are sufficient to carry out the test:

  1. From the control panel select WooCommerce and then “Orders”.
  2. You select a pending/processing order and click on its ID to open it.
  3. After the order details have loaded, from the options on the right of the window, click “Create voucher”. Once the creation is completed successfully, the voucher number will appear at the top of the right column. Then the buttons for printing or canceling the specific voucher will become available.
  4. Click the “Print” button to display the test voucher in a PDF file and save it.
  5. From the the Control Panel, select “Jobs” and then “Issue Pickup List (ACS Courier)” to issue the pickup list. A PDF file with the pickup list will open, which you will save.
  6. To complete the test scenario, click the “Cancel” button.
  7. After completing the above steps, you inform the courier company of the successful completion of the test scenario. In the contact e-mail you will attach the 2 PDF files with the test voucher and the pickup list you saved. Wait for them to send you the production codes, which you fill in in the same way as described above.

Automatic shipping fee calculation

ACS web service offers the additional possibility of calculating shipping. To make the appropriate settings to take advantage of this feature, go to Control Panel in WooCommerce, then Settings and click the “Send” tab. You choose from the zones you have defined, which one you would like to get the ACS rate. In the shipping methods box, select the new method to add and from the list options select “ACS Courier”.

Shipping costs are calculated based on the billing code you have in ACS. If you have other billing codes, shipping costs will be calculated based on the cheapest account.

You have the ability to change the title of the shipping method and set whether it will be taxable or not.


Instructions of the ACS Voucher for WooCommerce plugin

Useful information
  • After the successful installation of the plugin, when opening an order, the column with the voucher options appears on the right side of the screen. The first part of this column shows the voucher number, voucher status and shipping status, if a new one has been issued. The voucher status is either open or closed and indicates if the voucher created is active, while the shipping status indicates at what stage of the shipment the parcel is located and is automatically informed by the courier company.
  • Then, in the next box there are the fields “Parcels”, “Weight”, “pickup Date”, “Cash on delivery price”, “Services” and “Comments”, which attribute the properties that accompany the voucher. Specifically, in the first field of this box, the total number of parcels that accompany the specific order is entered and has as default the number one. In the second field, the weight of the order is entered in case it cannot be calculated automatically. If left blank, the weight will be set as the default value selected from the plugin settings.
  • Additionally, there is the option of additional services, such as delivery on Saturday. Also, you can change the pickup date. In case the customer has chosen cash on delivery as a method of payment, you can change the amount. In comments you can fill in any accompanying comments.
  • It should be noted that through the Web Services the vouchers are directly printed by the respective courier company. Therefore, you cannot make changes to the information displayed on the voucher. Also, you cannot use already pre-filled sheets to print the voucher’s details.
  • If you have created a pickup list, the system of ACS assumes that you have printed and sent the parcels, so you cannot reprint a voucher that is included in the list.
  • To select several services press control + click on the ones you wish to appear on the voucher. The cash on delivery service will appear automatically if the customer chooses cash on delivery as a payment method. In the event that they has chosen another payment method, then no service will be chosen and the parcel will be considered paid.
  • For any problem that may arise, there is at the end of the column the cancellation of the voucher that has been created. However, before proceeding with this action, it is mandatory to contact the ACS Courier.
Manual voucher creation

To issue a new voucher, after filling in the necessary information, select the desired account, click on the “Create voucher” button and the details will automatically appear in the first box of the column.

Then, with the successful completion of creating a new voucher, the following options are activated, printing and canceling the voucher. Before selecting a print (PDF view or classic print) option, you can choose its size from the “Flyer”, which corresponds to A4, and the “Sticker”, which corresponds to A6.

At the end of the column there is the cancellation of the voucher that has been created. However, before proceeding with this action, it is mandatory to contact the ACS Courier.

Create/ print bulk vouchers

In addition, it is possible to issue vouchers in bulk by following the steps below. From the settings of the plugin, you activate the option “Auto issue”, if you have not already activated it. Then, from the “Orders” option of WooCommerce, select as many orders as you want and then, from the bulk editing options at the top left of the list, select “Change status to completed”. In this way, the selected orders are converted into complete ones and the vouchers are issued automatically, after the corresponding option of the plugin is activated.

Also, the possibility of bulk printing/ cancelling vouchers is offered. More specifically, from the Jobs in the Control Panel, you can select the orders whose vouchers you would like to print and at the top of the page, from the drop-down list of actions, select “Print/ Cancel Jobs (ACS Courier)” and “Apply “.

Issue pickup list

The issue of the pick list marks the end of the day to inform the courier company of the orders to be dispatched. You can either set from the plugin settings the desired time you want the pending jobs to be closed automatically or by going from the Control Panel to Jobs and selecting the button “Issue pickup list (ACS Courier)”.


Order tracking

To add shipping tracking to your online store, you can create a new page and paste the shortcode [webexpert_acs_track_form].

Track & Trace

You can see the comments on the shipping status of each order by clicking on the question mark.

To see the progress of the order, you can click on the voucher number.
